To assist the UK FM Risk Manager in the development, administration and professional delivery of Pentland Brands Health & Safety and associated FM Risk Management services. The post holder’s role will support contractors, colleagues and teams from across Pentland Brands.


Health & Safety


  • Primary administration and support for UK FM Risk Manager
  • First point of contact for general Health & Safety enquiries at Lakeside HQ
  • Update and maintain all WorkRite System training and assessment modules
  • Ensure sufficient First Aid and Fire Marshal provision at HQ and manage/deliver associated training requirements
  • Maintain training records for Facilities team
  • Book all external training courses in relation to H&S at HQ
  • Attend quarterly Group Health & Safety meetings
  • Collate accident information for Pentland
  • Complete assessments and assist in the development and maintenance of Risk Assessment register
  • Complete and review COSHH Assessment for Lakeside HQ
  • Complete H&S inspections/audits at Lakeside HQ and action issues accordingly
  • Assist UK FM Risk Manager to manage and maintain H&S intranet and other systems across Pentland Brands.


External Supplier and Contractor Safety Management


  • Assist with the development and maintenance of a safety management system for contractors, including induction processes, permits to work, CDM Site Safety Plans etc.
  • Work closely with Maintenance, Facilities and H&S colleagues, review all third party RAMS and Safe Systems of Work as necessary
  • Ensure all contractors have the appropriate accreditations and insurances
  • Assist with the Safety and Quality Management processes for appointing and managing suppliers and contractors
  • Support Maintenance and Building Services teams to manage temporary work force when on site
  • Assists with maintenance of service contract H&S records
  • Create and maintain contractor register


Compliance and Audits


  • Assist UK FM Risk Manager with the delivery of audits which will include:
  • Life Safety Systems compliance i.e. Fire Fighting Equipment and Detection Systems
  • Fire Risk Assessments, Asbestos Management
  • Compliance with M&E maintenance requirements i.e. Periodic Fixed Wire Inspections, Water Management, F-Gas and Environmental, Insurance Engineering Inspections etc.
  • Assist with Swimming Pool/Leisure Facility/Catering, Food and Hygiene and Nursery audits


Projects & Company Events


  • Provide any necessary H&S support for both internal & external company events
  • Provide H&S support for project works, office moves and plant replacement works
  • Assist where necessary in the preparation of RAMS for on-site film/photo shoots working to the agreed specifications of marketing teams etc. and the H&S Policy


Business Continuity Management


  • Assist the UK FM Risk Manager with the development of Business Continuity Planning and Emergency Planning process
  • Update internal BC system with relevant data and ensure Facilities BC plan is up to date
  • Provide administrative support to Facilities team and Pentland Incident Management Team in the event of a BC incident





What you need to have


Knowledge of:


  • H&S Workplace Legislation
  • Fire Safety and Fire Risk Assessments
  • Catering/Food Hygiene Assessments
  • Statutory Compliance requirements
  • BCP and/or Emergency Planning
  • Quality Audit Process
  • MS Office and IT systems generally
  • Working knowledge of KPI’s and scorecard reporting
  • High calibre of Administration and Organisational skills with the ability to prioritise own workload and provide Management support appropriately


Specific Experience:


  • Experience of supporting H&S teams
  • Working in a customer facing environment
  • Min 5 years’ experience of working in H&S and Quality Systems driven environments
  • Administration of accident investigations
  • MS Office, Excel, Word, PowerPoint etc.
