Key kurpose of the job as a Project Coordinator:

This role is a key enabler within an exciting strategic project to redesign the future of work at Pentland. The Project Coordinator will coordinate the overall project, ensuring appropriate planning is in place, project templates used effectively, and timelines met. In conjunction with the Project lead(s), you will ensure that the project team is undertaking the right thinking, connecting the dots, and working towards overall project goals.


The Workplace of the Future (WPOTF) project, is a key strategic initiative, focusing on the Physical, Technological and Cultural aspects of the workplace to ensure that Pentland is an engaging, collaborative, creative and innovative place to work – no matter where in the Pentland world you are located.



  • Work with the OD Director and Facilities Director to map out project goals and timelines, in turn creating appropriate project templates such as a project plan, stakeholder map, and more.
  • Liaise with the PMO office to ensure that the project team is using the relevant Pentland templates, and providing critical project updates as required.
  • Work with the HR Engagement Advisor and PA to prepare project presentations and coordinate project meetings.
  • Coordinate input and action across the project team, flagging any risks to project delivery and recommending mitigating action.
  • Prepare monthly reporting on project progress, for discussion within the project team and with the project sponsor.
  • Work with the Project team and Finance to ensure the team is tracking projected and actual budget / spend.
  • Contribute to the development of the 2018 Investment Case for the WPOTF project.
  • In conjunction with project team members, play a key role in ensuring stakeholders are involved as appropriate.
  • Coordinate the development of the project communications plan, working with the Head of Internal Communications to ensure that employees are engaged and inspired by the project.
  • Identify interdependencies across the business, flagging these with the project team and ensuring that the project is connected and linked in with various other business initiatives as appropriate.
  • Champion and role model standards and principles set by the WPOTF project team.

  • Previous experience supporting complex projects, or previous event management experience
  • Outstanding organisational skills
  • Experience of working in a matrix organisation
  • Strong stakeholder management skills
  • Gravitas and the confidence to communicate with people at varying levels across the organisation
  • Strong written communication skills and a high level of attention to detail
