Key Purpose of Job:


The key purpose of the role is to support and contribute to the HRBP team’s annual objectives year on year and to be the point of contact for a range of client groups that include brands and global service teams.  The role will be required to help define, embed and review people strategies that support the business goals especially in the following areas:-

  • Organisational Design
  • High Performance
  • Employee Engagement
  • Management Information

In conjunction with the above, the role will be involved in scoping, delivering, embedding and reviewing project-based initiatives with the wider HR team, in relation to:-

  • People Resourcing; Attract and Engage Talent at all Levels
  • People Development; Embedding the Always Learning value through development activity including Talent Bank and Leadership Programs
  • Reward & Benefits; Delivering a Compelling Benefits offering and system which supports the Pentland values and culture
  • Policy & Compliance; Ensure the business is compliant on core employment legislation and every manager is fully informed and consistent in their application of key people management practices

 There will also be responsibility for managing the day-to-day performance of an HR Administrator.



Organisational Design

  • Support the HR Business Partner in creating People Plans that align organisational structures with the purpose of the business and their objectives, taking into account people behaviours and people processes.
  • Contribute to cultural and behavioural plans when a period of change occurs within the business.

Employee Engagement

  • Contribute to employee engagement initiatives in the relevant brands and global teams
  • Help drive employment engagement scores and maintain them
  • Support and coach teams / managers where engagement levels are low

High Performance

  • Coach and support manager’s through performance-related matters  with their team / individuals
  • Coach and support Manager’s within Pentland with disciplinary / grievance matters and escalate where necessary
  • Support HRBP in key people development activities including Talent Bank /  Talent 2020

Management Information

  • Management Information reporting - production and maintenance
  • Produce reporting packs for relevant brands / global service teams on a quarterly basis

Reward & Policy

  • Support in the annual salary review and bonus process ensuring accurate data and documentation is produced
  • With support from the Reward team, carry out salary and benefits benchmarking activities to ensure our offerings remain competitive with the external market
  • Hold meetings with the business in relation to maternity, paternity, flexible working requests
  • Checking of eligibility to work / VISA records. Responsible for coordinating an annual checking process. Ensuring employee documentation is in line with UK Border Agency requirements.
  • Ensure the business is compliant on core employment legislation and every manager is fully informed and consistent in their application of key people management practices

Continuous Improvement

  • Support the Project Unity team and HRIS Analyst in any system upgrade or improvement focussed activities
  • Support the HR Admin team in their line of work with improvement focussed activities

Service Level Champion

  • Ensure the Administration team promotes and maintains a high standard of professional HR Admin practice.
  • With support from the HRBPs within Pentland, manage the day to day performance of the team and support the development of the HR Administrators via mentoring, coaching and upskilling on a regular basis.
  • Meeting with key stakeholders to ensure service / performance are meeting expectations and seek feedback to seek improvements.
  • Lead by example; instilling best practice across the team.




What you need to have
  • Experience of working in a fast paced, high volume HR administration environment.
  • Experience working with databases and IT systems; understands system impacts / dependencies.
  • Excellent English language skills; both written and verbal.
  • Strong numeracy skills.
  • A high degree of attention to detail and accuracy.
  • Experience of managing multiple priorities and stakeholders.
  • Experience of working under pressure to tight deadlines.
  • Fully competent across all Microsoft Office packages.
  • Ideally CIPD qualified / equivalent or degree level qualification


What we need to see in you
  • Exposure to a shared-service HR function would be an advantage.
  • Experience with, Org Plus and Survey Monkey would be an advantage.
  • Previous experience of some basic payroll processes/calculations would be an advantage.
  • Experience of line management would be an advantage.
