The Executive Assistant/Personal Assistant to the Global Marketing Director is an important role enabling the Global Marketing Director to work most effectively with internal and external stakeholders within the Business. This role will be responsible for high quality administrative support; however it will also require support on more strategic projects and initiatives. This role will be a facilitative one that requires a combination of focus and flexibility, as well as a willingness to play an active, behind-the-scenes role.


Key Purpose of Job: 

  • Support the Global Marketing Director in delivering broad agenda aligned to company objectives.
  • Ensure meetings are productive, with clear objectives and that Global Marketing Director and other attendees are well prepared in terms of agendas, pre-read and meeting plans to achieve desired outcomes
  • Prepare PowerPoint decks which support decision making
  • Enhance and maintain the rhythm of team engagement and deliverables, aligned to overall objectives
  • Ensure effective stakeholder engagement
  • Ownership of diary management including collaborating with the PAs across the business ensuring all key business meetings are in the diary and the engagements run smoothly e.g. 1:1s, Board meetings, customer visits
  • Inbox management – review incoming emails, filter, escalate items requiring action and draft replies on behalf of the Global Marketing Director
  • Prepare monthly expenses claims and book travel
  • Review incoming expenses claims for alignment to policy etc prior to Global Marketing Director approval
  • Code and allocate invoices prior to approval
  • Support the planning and preparation, of Consumer Leadership Team (CLT) meetings to facilitate strategy development and alignment
  • Support the Global Marketing Director and CLT on delivery of projects to ensure continued alignment, consistency & delivery
  • Management of agenda, content and delivery of other key forums
  • General admin assistance & point of contact for the Global Marketing Director



                         What you need to have

  • Experience of working for a large matrix organisation, liaising with various international offices
  • Intermediate Excel, Word, Outlook, (can be trained on SAP)
  • Strong PowerPoint skills with the ability to build concise decks which support decision making
  • Understand our industry, our brands and the mission of our business
  • An understanding or interest in marketing / consumer
