    Key Purpose of Job:

    Provide a high level of organisation and administrative support to the Head of Design and Head of Product Category Managements to enable delivery of the function’s objectives as well as providing administrative support on key deliverables. This role will work collaboratively with the Footwear PA circle.




    • Diary and inbox management.
    • Long term calendar management ensuring annual cyclical activities run smoothly (meetings, planning & preparation) and schedule review to ensure on-time delivery of key pieces of work
    • Ensuring actions and information requests are followed up appropriately
    • Handling of confidential and sensitive information with the upmost discretion
    • Arranging UK and International travel, including flights, trains, hotels, visas, airport transfers, lunch/dinner reservations, managing itineraries and booking meetings
    • Collating monthly UK and international expense claims


    Event Management

    • Planning, co-ordinating and managing meetings including venue, refreshments, on-line and AV set up, agenda preparation, blocking preparation time, co-ordinating inputs, preparing papers and typing minutes as required
    • Managing local and international events from concept stage to delivery
    • Organising team day events from sourcing a venue to arranging activities, catering etc.
    • Management of event agenda and compiling content and preparing event materials  


    Team Assistant

    • Supporting the team with any visa requirements
    • Supported by the managers, collating induction packs for new starters to the team
    • Sending out new starter announcements
    • Reviewing any stationary needs for the team



    • Proactively identifying opportunities to improve current processes and increase efficiency and effectiveness within the teams
    • Preparing presentations and other communications
    • Researching and producing briefings as required
    • Supporting on projects for the delivery of Pentland’s, Footwear Division’s and Design and Category team strategic objectives when required.



    What you need to have

    • Relevant experience of working as an assistant at Head of function/department level
    • Event and Project Management experience ideal
    • Advanced Word, Excel and PowerPoint
    • Good working knowledge of how to put presentations and briefings together
    • Attention to detail and time management skills
    • Ability to understand and anticipate needs to ensure appropriate outcomes
    • Ability to identify and manage the need for Exec involvement and approval
    • Ability to remain confidential and professional with sensitive people related data and information
