    Key Purpose of Job:

    • A key member of the Reward & Operations team, reporting directly to the Payroll Manager.
    • Responsible for day to day running of payroll inclusive of ad-hoc pay queries (including Ireland, Expat and Joint Venture payrolls)
    • Ensuring compliance with the latest relevant legislation, statutory filing deadlines, and internal management reporting requirements, HMRC, Finance and HR functions. 
    • Contribute where necessary to successful implementation of new in-house payroll system (SuccessFactors)
    • Deputise for payroll manager where necessary


    • Supporting the process of electronic data interfaces from our HRIS to our external payroll provider’s system, alongside the HRIS Analyst. 
    • Preparation and calculation of monthly payroll activities for all payrolls, inclusive of ensuring starters/leavers are processed, along with payments for SMP, SPP and SAP on a right first time basis.
    • Ensuring 3rd party payments and reports are completed on time. 
    • Undertake out of cycle payments where necessary.
    • Document payroll statistics, error rates against service level agreements where applicable.
    • Preparing payroll reports to comply with business, audit, finance, brands and department requirements. 
    • Support and delivery of End of Year processes, including RTI declaration, P60 and P11d. 
    • Preparing and submitting monthly and annual data and forms to external pension administrators to ensure smooth running of the company's pension schemes. 
    • Liaising closely with Finance team ensuring that monthly reconciliations and sign off is undertaken. 
    • Continue relationships with all stakeholders/customers and third parties.
    • Liaise with payroll vendor on an ongoing basis.
    • Coordinate dissemination of payslips on monthly basis.
    • Managing the Directors’ emolument process and General Ledger reports.

    Key stakeholders

    • The key internal and external stakeholders that this role will need to work with on a regular basis include ADP (external payroll provider), Finance, and all Pentland employees in the event that questions arise relating to their pay or tax.
    • You will also be required to maintain effective working relationships with the Reward team, HR Services team and the wider HR community to ensure a first class service is maintained to our internal customers.



    What you need to have

    • Previous payroll management experience, working with ADP Freedom and experience with HR interfacing (ADP HR.net and SAP SuccessFactors are desirable).
    • Extensive knowledge of payroll legislation to act as the company’s subject matter expert. This includes knowledge and understanding of UK payroll-related legislation and statutory requirements, including PAYE and other deductions, and HMRC rules.
    • Advanced Microsoft Excel skills with good numeric and analytical skills.
    • Good eye for detail is a must, able to compare data, running reports and imports between two systems.
    • Experience of working in a fast-paced environment and managing direct reports.
    • The ability to fix errors and warnings and work on your own initiative.
    • A ‘can do’ attitude to resolve problems quickly and effectively and create new solutions where required.
